Responsibilities Overview: Reporting to the Clinic Manager, the Patient Services Supervisor supervises and coordinates the Optometry clinic front desk operations to include, but not limited to, providing customer service to patients via telephone or face to face, cashiering, insurance related activities, ordering and dispensing of contact lenses and medical records fulfillment. The Patient Services Supervisor ensures the smooth day-to-day operations of the Minor Hall clinics which operate year round, 7 days a week at more than 60,000 patient encounters.
The incumbent takes the lead in customer services, patient complaints, and insures patient service activities occur in a professional and efficient manner. Because the clinical operation runs 7 days a week, weekend work is required.
Assesses daily work load and assigns tasks and responsibilities to scheduled staff. Supervises clinical support staff with responsibility for quality and quantity of work, manages patient flow and schedules to ensure adequate staffing levels at all times.
Responsible for training employees on scheduling, phones, insurance verification, cashiering , professionalism, and customer service. Responsible for smooth day-to-day operations of the clinic.
Acts as leading staff resource or liaison for insurance or vision benefits, billing, and payment issues.
Establishes procedures and guidelines, in accordance with policy, for obtaining insurance eligibility and authorizations, cash collections, front desk operations, and customer service Ensures daily deposit of revenues are prepared and reconciled.
Researches and resolves issues and discrepancies.
Operational experience in areas of vision care or medical practice to include, human resources, patient accounting, patient services, insurance and billing, and operational knowledge of vision or medical clinic
Experience in clinical support operations and staffing.
Knowledge of vision care principles, procedures, current procedural terminology, and ICD-10
Knowledge of current applicable HIPAA regulations governing the privacy and security of patient information
Strong customer service skills
Ability to work with a highly diverse population of patients, staff, faculty, and students
Excellent oral and written communication skills
Ability to resolve patient inquiries and complaints
Strong knowledge of cash handling and reconciliation procedures.
Because the clinical operation runs 7 days a week, weekend work is required.
Bachelors degree in related area and/or equivalent experience/training.
